Tips For Remote Participants
For this meeting, Enterprise Learning in the Next Twenty-Four Months, the format will be mostly one way. Many guest speakers will present to the audience and interact with one another. There will be some time for questions and answers but little time for interaction with the audience.
Consequently, the following improvements will be enacted to increase the quality of the experience for remote participants.
- Guest speakers will use hand held microphones which will be channeled though the PolyCom for those using the conference call-in number. Speakers movements should not adversely affect the quality of audio for remote participants.
- All questions will be funneled through a Meeting Coordinator who will read the questions aloud. Remote participants can submit questions by way of the chat function of WebEx. The Remote Participant Facilitator will hand these questions to the Meeting Coordinator when timely.
- The WebEx screen will be projected on a big screen before those in the room, enabling the audience to read the chat comments and questions of the remote participants.
- Digital images of the meeting may be uploaded to the WebEx Meeting Center site during the meeting, if possible. Remote participants may want to have two browser windows open: One for WebEx Meeting Center, https://mcssl1.webex.com/mcssl1/j.php?ED=78219181, and one for the eLearning Forum's community page: http://www.elearningforum.com/meetings/2003/june/community.html
- Updates of meeting minutes will be uploaded to the community page throughout the meeting.
- Throughout the meeting, the Remote Participant Facilitator will use chat to communicate who is speaking and key points.
- To conserve time, the Remote Participant Facilitator will introduce all remote participants (see #4 below).
As with all meetings, we recommend that remote participants attend to the following tips to ensure a positive experience:
- Before the meeting, test your system per the instructions at the top of this page
- Before the meeting, review the preparation resources
- Turn off all spam and pop-up blockers and any unnecessary applications.
- Log in to the meeting at least fifteen minutes before start time so that you can provide the Facilitator with introduction information: Your name, Your location, Your Affiliation.
- Mute your phone and eliminate unnecessary background noise that might distract your focus.
- When speaking to the audience, remember to say your name first. After speaking, remember to mute your phone.
- Be brief in your chat comments and questions so that all remote participants can interact.
- Following the meeting, email evaluation comments and recommendations for improvement about the meeting to the Remote Participant Facilitator at rickhuebsch8@aol.com
